Administration Volunteer – Fundraising and Partnerships – Rochford

PURPOSE OF THE ROLE:

To support office staff with the daily administration needed.

Working with spreadsheets and databases, sending out emails, making calls, doing research, and working through a to do list the staff has supplied at the start of the shift.

Communication in this role is key as the post holder will need to have clear and open communication internally while representing the charity with external partners too.

Clear and confident telephone manner and email communication will be key in this role.

An openness to learning new tasks and taking on training relevant to the role will be required.

MAIN DUTIES AND RESPONSIBILITIES OF THE ROLE:

·       Assist with a variety of organisational and administration duties.

·       Use IT software, including Microsoft Office, Excel to a good level

·       Make telephone calls in accordance with their assigned project.

·       Conduct research when briefed.

·       Send email and follow ups thanking partners or donors

·       Support the service delivery.

·       Attend meetings when necessary.

·       Complete and maintain up to date records and support communication log for team.

·       Taking part in appropriate training and development activities

·       Participate in volunteer meetings

·       Notify staff if you are unable to attend your regular session

·       Ensure Health and Safety regulations are adhered to in line with Trust Links Health and Safety policy

·       Ensure Safeguarding requirements are met in line with Trust Links Safeguarding policy and escalate concerns about the wellbeing of service users to appropriate staff members

·       Maintain confidentiality

·       Raise any issues affecting members with appropriate staff member

·       Feedback to staff relevant information relating to members’ progress and independence

The Volunteer will be required to:

·       Undergo a DBS, recruitment process and checks and volunteer induction
·       Report issues, concerns and successes to project staff.
·       Work with the team to improve outcomes.
